The Band Boosters Club

The Morristown West High School Band Booster Club is an organization of parents, grandparents and other interested parties. The purpose of the club is to provide financial support and help to promote band spirit. Membership is open to anyone with a sincere interest in the welfare and success of our bands.

There are ways for all to be involved with the Band Boosters. Do you have a talent that we haven’t thought of yet? Let us know! We want everyone to have a way to help their child succeed in the band program.

Why Do We Need Your Help?
Many local band programs have participation fees of $300-500. You can keep this program available to all students by donating your time to support the program. The Band Boosters donated in excess of $41,000 to the Band program during the 2007 to 2008 school year, with most of that money being earned through the operation of our concession stands. That calculates to more than $500 donated for each child in the program - money that parents did not have to spend for their child to participate in band. In exchange, we are asking all parents to volunteer at least 8 hours of their time to band boosters this year. Volunteer hours can be spent working in concessions, chaperoning, altering/repairing uniforms, soliciting donations from area businesses, working at the pancake breakfast, working at the Coke case sale, coordinating schedules with parents, planning parties, etc. PLEASE be generous with your time!

Band Booster officers are rotating off the board (or 'graduating') at the end of school year.  Many committee positions will need to be filled, also. Please be thinking about how you can help the Band Boosters in the coming year/s.

The Band Boosters board has attempted to make many smaller committees to handle individual tasks, rather than depending primarily on the Board to oversee and complete all of the projects. Our committees for 2009 to 2010 are as follows:

Football Concessions 4-6 people
Stand managers for the home and away concession stands for football season. Manager or co-managers for each side:
- Home side
- Away Side
Managers keep the stand running smoothly at each event, usually working most games and overseeing the other volunteers. They also keep an inventory of supplies to be able to generate shopping lists.

A designated booster parent purchases all the food and supplies as needed for all of the games. Most of the supplies come from donations from Jeff Burns, Sonic Drive-In and SAMS. (Unless one of the stand managers wishes to shop.)

Two additional volunteers to assist the managers as needed, such as: Clean the closets Check equipment for repairs Confirm volunteers and finding replacements if needed Call parents if not enough volunteer through the email/website These volunteers may also work during the games at their discretion.

Basketball Concessions – 2-3 people managing, 3-4 others as listed below.
The individuals who co-manage the basketball concession stand will be responsible for overseeing the set-up of the stand for basketball games as well as closing of the stand at the end of each night. They keep an inventory of supplies to be able to generate shopping lists. They are encouraged to recruit other parents to be on-site managers for each game. Again, these volunteers may work during the games at their discretion, or may delegate that to others. 2-3 people so that one person does not have to work every game.

Volunteer Coordinator – 2 people: 1 person in the fall and 1 in the winter One person lines up volunteers. Have a list in the band room for students to sign up. Call parents if not enough volunteer through the email/website Confirm volunteers and finding replacements if needed

Parties and Receptions – 1 person Plan three events:
-Christmas reception after concert – invite benefactors/donors
-Spring party for band students
-Spring reception after concert for rising ninth grade students and families
This chairperson will contact people to assist with these events.

Cash and Merchandise Donations – 2-3 people
2 to 3 members to solicit cash and merchandise donations from area businesses and individuals. There is a list of businesses that have donated in the past and need to be contacted again. Donations have ranged from food products for concessions, discounts on equipment and monetary donations from area businesses and individuals. This committee also assists band families in how to contact their own employers for donations. The Boosters have a form letter signed by officer of the Band Boosters.

Merchandise Sales (T-Shirt and Sportswear) - 1 person
Meet with area vendors to negotiate prices and styles for band t-shirts, sweatshirts, vehicle magnets, etc. Obtain quotes from different vendors. In addition, they provide samples of items for sale, and help determine correct sizing for the student's band t-shirts, scrubs, etc. They also meet with band officers and help design the fun shirt.

Fundraising – 2-3 people
The Band Boosters usually hold 3 to 4 fundraising events throughout the year. Current fundraisers: Pancake breakfast and Coke Case sale in the spring and Scrips sales all year long. It takes LOTS of money to run the band program, and we try not to overburden parents with fees!

This committee is responsible for setting dates, and locations if applicable, preparing information for distribution (order sheets, sign up sheets, etc.) and overseeing the event. Members of this committee may work with the Cash and Merchandise Donations committee for acquisition of goods and services needed for the fundraising activity.

Band Camp Organizer - 1 person
Band camp organizer responsibilities:
- Find male and female chaperones to attend week long band camp at ETSU - chaperones have to be approved by Mr. Thomas before they are asked to attend.
-Order and gather all supplies and equipment needed prior to band camp week (i.e. first aid kit, coolers, tables, cups, PowerAde powder, etc.). Find someone to wash drink coolers and cups before departure.
- Confirm which chaperones are riding the bus to ETSU. Specify one or two chaps to drive personal vehicles.
-Coordinate chaperone duties once you arrive at camp.
-Plan/gather orders and purchase pizzas for Thursday party.

All of this completely outlined in a “day to day” breakdown for the organizer.

Uniform Repair and Alteration - 1 person
Organize volunteers during summer full band week to assist during uniform fitting and alterations and check written list on uniform closet door weekly for needed repairs.

Web Master - 1 person Keep website current – calendars, volunteer lists, announcements. Set up student/parent database. Send out emails to parents and students.

If you feel that any of these committees is right up your alley, please email us to sign up now. We do expect each family of our band students to assist the booster organization during the year. Many hands make light work. . . please don't expect others to do your share!!!

 

Fund Raising
It takes a considerable amount of money to run the band program. While the band department receives a certain amount of money from the school board budget, most of this money is earmarked for certain expenditures which must be paid each year, such as band music and drill and maintenance on instruments. Please be aware though, this budgeted money is most frequently inadequate to cover the expenses for which it is allotted.  

Screen Printed and Embroidered Items
The Band Boosters will have silk screened shirts (the same as each student is issued), silk screened sweatshirts, embroidered blankets, caps, pennants, etc. for sale. A very small percentage of the cost goes into the band’s account. Parents, grandparents, siblings and friends of the band are encouraged to purchase a shirt or other item to show their support of the band program. A sample of the merchandise and an order sheet will be available during summer band camps and at the fall parent meeting.

We would not have a band program without the money Band Boosters raises.

Band Merchandise

Band Party
The Band Boosters host a party every year. This is a social gathering for band members only. 

Field Show Video Tape
Camera Castle makes a video each year of home game half time marching performances that can be purchased after the season. Details will be announced in the classroom.
